Maintaining Control Over Your Project During Festive Periods II

Last week, we analysed two ways in which we can maintain control over our projects during the yuletide season. This week, we will consider two other helpful tips.

III) Temporary/Additional Staffing

In order to keep up with the compact working hours during the festive period, you may want to consider engaging Temporary Staff to increase manpower on the project. The advantage of this is that it pushes you closer to meeting your project deadline.

Temporary staffs can be invaluable and there is a need to be patient with them. Typically, they have lower wages when compared to the permanent staff as a result of their little knowledge and inexperience. However, it's important to take them seriously as they are an asset to the project. Spend some time training them before engaging them actively on the project.

IV) Improved Scheduling Techniques

There is a need to schedule website and social media content in advance. This is the time we need to automate as much as humanly possible and free up time on what technology can handle.

Keeping your social media accounts as updated as possible will help in shaving off some idle time of answering enquiries over the phone. As much as possible, keep updated company contacts and relevant information online. This helps stakeholders keep tab of recent changes without necessarily having to call in.

Maintaining Control Over Your Projects during Festive Periods I

Carrying out projects during the festive periods could be somewhat stressful and tricky to say the least. This is because the end of the year has a lot of commitments and pressures associated with it. This time, people try to meet up with their yearly expectations and also try to have some fun as the year goes to an end.

The same can be said professionally as businesses try to close out for the year on a good note. It's a time to access their books for the year and give an appraisal of how they fared within the last 365 days. This in itself, creates some tension in the work place.

However, how best can we maintain control over our existing projects at such a time? This week, we would share two helpful tips.

I) Manage Client Expectations

This is a very important period in the life of your client. You can do well by increasing communication because your client may be out under strain during this period. Minimise assumptions as much as you can and ensure your client is well briefed as the project proceeds. The client should also be involved in critical decision making.

II) Learn to Say NO

Some of us struggle in this regard as we want to impress all prospects. However, there are times we need to say NO to a new business opportunity in order to complete existing projects. Bare in mind that the yuletide season brings shorter working days thus, it may be difficult keeping up with additional work loads.

An ABC Approach to Managing Construction Projects

This week, we would like to remind us of an easy step-by-step path to Managing construction projects. Our major aim is to help clients and individuals in applying these easy steps to their day-day lives in becoming more productive.

I) Initiation
What Exactly do you want to embark on? How do you intend going about it? Who are those involved? Have I prepared a Business Case? These questions and more are answered at this stage.

II) Planning
Everyone at one stage Or the other is involved in planning. However, some critical questions to ask are: How long will this project last? How many activities do i need to complete? How do I keep track of Budget?

III) Executing
This is the point where we translate our planned work (on paper) into real life (the task at hand). How well am I maintaining Project Scope? Am I keeping to time? What Quality Measures are in place?

IV) Monitoring and Control
Here, we ensure the triple constraints of Scope, time and cost are aligned all through the project. What Quality Control measures are in place? Are there safety considerations too? How do I avoid Scope Creep? How well do I manage Stakeholder interests?

V) Closing Phase
Here, we intend to bring the project to a final conclusion. What activities are left? Have Procurements been fully signed off? How about Administrative sign-off? Is the Client aware? Have Changes been fully captured?
