Operatorβs On-Scene Cheat Sheet: Accident Recovery & Customer Relations
PHASE 1: A
rrival & Safety (The First 60 Seconds)
Secure the Scene: Position the flatbed to block traffic and protect the accident zone. Activate all emergency lighting.
Check the Customer: Before mentioning the vehicle, ask: "Are you okay? Do you need an ambulance or any medical attention?"
Relocate for Safety: Physically direct the customer out of harm's way. "Letβs step behind the guardrail [or away from the road] so you are safe while I assess the vehicle."
PHASE 2: De-Escalation & Clear Communication
Establish the Authority (If Police Dispatched): Shift the urgency off yourself and onto protocol.
"The BGPD [or State Police] dispatched us to clear this lane immediately so no one else gets hurt. We have to move fast, but I'm going to take good care of your car."
Verify Ownership Without Conflict: Frame ID checks as a benefit to them, not an accusation.
"For your security and to prevent vehicle theft, company policy requires me to match your Driver's License to the registration before I can legally hook up to the car."
Explain the Equipment: Show them you are a professional protecting their asset.
"Iβm going to winch this up onto the flatbed. It is the safest way to transport it with this front-end damage without risking your transmission or tires."
PHASE 3: Ironclad Documentation (Protecting the Company)
The Pre-Tow Walkaround: Take 4β6 clear photos (or a continuous video) of the vehicle before the winch is attached. Ensure all existing collision damage, broken glass, and deployed airbags are documented.
Valuables Check: Do not let them leave things behind that they will need tonight.
"Before I load it up, please grab your wallet, house keys, phone, and any medications from inside."
Payment Transparency: Address the financial side calmly but firmly before leaving the scene.
"Just so you are aware of the process, we require payment at the time of service. We cannot accept third-party business checks or bill insurance directly from the highway, but I will give you an itemized receipt to submit to your insurance for reimbursement."
PHASE 4: The Handoff & Departure
Provide the Destination Info: Hand the customer a company business card or pre-printed flyer.
Set Expectations for Retrieval:
"Your car is going to our secure lot in Bowling Green. The address and our operating hours are right here on this card. When you or your insurance adjuster come to look at it, make sure you bring your ID."
Pro-Tips for Operators:
Never argue on the shoulder of a highway. If a customer becomes aggressive, step back and let law enforcement handle them.
Silence speaks volumes. You do not need to justify company policy or pricing on the side of the road. State the policy once, clearly, and get back to working the scene.
