So you are about to become an Independent Freight Dispatcher

Well good on you... 🙂

Dispatching trucks feels like a scary prospect doesn't it?

But maybe it does not have to be.

The key is to have a repeatable strategy for every truck you dispatch that makes your results predictable.

How many miles can a truck drive each day within the time allowed by the driver's HOS?

What if you picked loads as close to your driver's limit as possible?

On a good day a semi can cover 650 miles in a day, so on an average let's be safe and say 400 miles.

So at 400 miles per day and about 5 days per week a truck can cover about 100,000 miles per year.

If you can negotiate an average rate on each load of $3.50 per mile your driver will make around $350,000 gross per year.

If the average truck cost $1.80 per mile to run...
.. all expenses including driver/Owner Ops salary will be under $180K

If as a dispatcher you are making 10% (and you should be)...

Then for each truck you dispatch your income should be around $35,000 per year.

Not bad!

Now in this scenario, a gross $350,000 - Operating Expenses $180,000 and - Dispatch Fee $35,000 is equal to Gross Profit for the truck of $135,000

Would your O/O be happy with $135,000 in profits to grow their company and their fleet every year?

What if you could almost guarantee these kind of results for every truck they put under your dispatch service?

How many trucks will that company owner let you dispatch?

Especially when their profit margins can afford at least one new truck every year?

Its not rocket science is it?

Especially if you have a well thought out excel spreadsheet to help you get there.

You know... 🤔

Knowing your numbers in trucking can be very powerful.

and it does not even have to be complicated.

If one truck can run an modest average of 375 miles per day

For 5 days per week

That truck can cover 98,450 miles for the year

If your dispatcher can negotiate an average of $3.94 per mile...
..and you can keep "Actual Cost" under $177,210 for the year.

You will be able to pay a driver (or yourself) a minimum fair rate of 70c per mile.

That will be around $70K at 98K miles...

Does your truck drive more miles than that?

If you are owner operator the driver's pay will be your salary...

So you do not have to spend your company's Profits on your personal expenses.

(Driver/Owners Ops's pay is an EXPENSE

It's easy to plan a premium pricing strategy for booking truckloads of freight as an Owner Operator, or as a freight dispatcher of a commercial truck or transportation company using a copy of our Dispatch form.

Today, I popped open an excel spreadsheet and entered some hypothetical numbers to test how the year could end up for a single tractor trailer.

I entered 52 weeks of projected rates and miles then used the data to develop a pricing strategy for booking truckloads of freight for the year ahead.

Very Important for Owner Operators! ✋😔

When calculating cost per mile, your salary (or your driver's salary) must be calculated as a cost of doing business. Even if you are dispatching your own trucks, your dispatch fee (per truck) is a cost of your operation.

Your salary is NOT your company's profits!

If you are driving/dispatching for a salary, then it may be better to sell the truck and go work for a company with a real business plan. It makes way more financial sense. There is no logic to bearing the risk and liability of moving loads for a salary.

In my opinion, If you are moving loads for less than $3.00 per mile, you are essentially only operating your business to cover your salary and, more often than not, this will not end well for the business. 🤓

It is my firm opinion that a carrier should not take a load from a broker for less than $3 per mile.  The profit margins...

It is my firm opinion that a carrier should not take a load from a broker for less than $3 per mile. The profit margins of the business are not worth it for less. 🤔

I also believe that a broker should not charge less than 15% as their business is also important and needs to be profitable too. So essentially a broker should NEVER be quoting a shipper less than $3.53 per mile.

I also believe that if the load is less than 600 miles, the rate per mile should be higher than $3. High enough to cover the opportunity cost of accepting a load that is less than the truck's daily average of 600 miles.

For example if a carrier who normally would have made $1800 running 600 miles in a day, takes a load going 400 miles, the rate they quote brokers should be $4.50 per mile. Is bad business for a truck to make less than $1800.

By the same logic, a carrier who takes a load going 1000 miles should calculate the rate as $3 per mile for the first days distance of 600 miles, and $4.50 per mile for the second days distance of 400 miles. So essentially $3.60 per mile for the entire trip.

So of course the broker should be quoting the shipper $4.14. If the carrier is bidding direct to shipper then I guess its up to the carrier which rate to submit. I would begin at the broker rate and maybe allow some leeway for negotiations.

I admit that this best practice scenario will not fit every load every time but I think this is the guideline smart companies should follow.

I think too many brokers and owner operators got into business to replace their employee salaries and very few are thinking like smart business men and women building a high growth transportation company.

But I am a numbers guy so... 😒
