Looking for an office manager to begin work immediately who will be working with 2 other people in the office.
Our business specializing in container transport therefore experience and knowledge of the industry is a MUST.. It’s a bit too extensive to teach this to someone who has no previous knowledge.
Your Daily Tasks will include;
-Greet and direct visitors
-Checking Emails & responding in a timely fashion
-Answering Phone Calls
-Booking appointments with terminals for container drop off/pick up
-Arranging appointments with our customers & their warehouse
-Creating & Sending Invoices to Customers
-Manage incoming/outgoing couriers and mail;
-Maintain office supply room, distribution, inventory and ordering of supplies;
-File and archive documents as requested;
-General administrative work; follow-up on information requests, faxes and photocopies;
-Perform clerical duties such as data entry, typing documents, scanning, photocopying, etc.;
-Analyze documents and process for payment;
-Perform any other administrative related tasks.
Occasionally you will be required to;
-Reconciling 2 Visa Statements
-Add/Remove Drivers for UIIA Database, CN & The Port of Montreal occasionally
-Prepare documents to help aid our accountant
-Entering Driver Trip Sheets (needed to be done twice a month but recommended to do weekly to lighten your load)
Your days would typically look like;
Work day starts between 7;30-8;30am (we can work out a schedule that benefits us both)
Check emails/answer phone calls
enter paperwork into Quickbooks & send out invoices
book appointments for dispatch
mornings are typically busy to ensure that the rest of the day runs smoothly.
afternoons are easier and less busy so you can get some of your daily tasks done.
There are only 2 other people who are in the office, one person will be your manager who will be giving you direction on what you’re required to do while the other person will be running dispatch. They’ll handle ensuring all the drivers get to where they need to go.
You may be asked to call customers on their behalf to make sure that warehouses are moving accordingly.
We are located in Lasalle with a bus stop within walking distance with ample parking.
Education & Qualifications:�
* +1 year experience in logistics (asset)
* High school diploma or equivalent required;
* Good organizational and communication skills;
* Multitasking capabilities
* Professionalism and Good organizational skills
* Able to find efficient solution to resolve issues quickly
* Advanced knowledge of Microsoft Office;
* Basic knowledge of Quickbooks
* Intermediate level for data entry in systems;
* Bilingual (French and English) both oral and written.
