Carrying on with our legal themed questions, this week we're looking at
“How long should we actually keep documents?”
In legal work (as with everything else in the field) there isn’t always a simple answer!

Different types of documents come with different retention requirements and in many cases, those timelines are influenced by:
•regulatory guidance
•legal risk
•client expectations
•the potential need to refer back years later

The problem is that keeping everything “just in case” can create clutter and confusion.
But letting things go too early can create risk.
The balance sits somewhere in the middle, with clear policies, defined timelines and confidence in your processes.

Good retention isn’t about keeping more.
It’s about keeping what matters, for the right amount of time, in the right place.

No matter what document type it is, we can build our service around you and help manage items individually rather than as just another customer.

Not sure what to do with old glasses or sunglasses?
Good news, they don’t need to go in the bin ♻️

In Bristol, many opticians accept old glasses for reuse or recycling, including:
👓 Boots Opticians
👓 Specsavers
👓 Independent local opticians
👓 Lions Club collection points (often hosted at opticians and community venues)

Your old glasses could be refurbished and given a second life, helping someone else see better.

If they helped you once, they could help someone else again.

A question that doesn’t get asked often enough is-
“What actually happens if an original document is lost or damaged?”

For many legal records, the answer isn’t straightforward.
Wills, deeds, contracts and probate documents can be difficult (and sometimes impossible) to fully replace.

And when something can’t be recovered, the consequences can be significant:
⚖️delays in legal processes
💰increased cost and administration
😟added pressure on both firms and clients
🆚in some cases, disputes that could have been avoided

The risk isn’t just in losing documents, it’s in not having a clear system for protecting them in the first place.
That’s why secure, fire‑protected storage isn’t about worst‑case thinking, it’s about having confidence that important records are protected, even if the unexpected happens.

Because when something matters enough to keep, it matters enough to protect properly.

Clearing out excess items? Before binning them or driving to the tip, ask yourself "could this be reused?"

Furniture, storage units and usable office items often still have plenty of life left in them 🪑

Local organisation Ecooffice Furniture help keep items in circulation and out of landfill, its a win/win.

A clearer space alongside a lighter footprint, the Tiger approves🐾

Following this week’s Tiger Tip Tuesday, we wanted to share a little more about one of the ways we help protect original legal documents.

At File Centre, we offer fire‑protected storage for documents that must remain in paper form, including-
✔ Wills and deeds
✔ Probate and estate files
✔ Legal originals and signed contracts
✔ Long‑term compliance records

Our fire‑resistant room provides an added layer of protection against damage or loss, giving businesses peace of mind that their most critical documents are stored safely and appropriately.

Not everything can or should be digitised and for those documents that must stay physical, protection matters.
If you’d like to know more about fire‑protected storage or how it fits into a wider document management process, we’re always happy to talk on 0117 462 8370.

Original documents should never “roam” the office.

If it’s a-
📜 Will
🏡 Title deed
📄 Signed contract
📁 Probate or estate file

It needs a clearly defined, secure home, not a desk drawer or a “temporary” pile.

This is especially important for documents that are irreplaceable. Fire, flood or accidental damage can have serious consequences for both clients and businesses.

That’s why giving originals a protected environment, including fire‑resistant storage, should be part of every legal document process.

Time for us to call you out, on a Saturday too!

Be honest, in your home where does paperwork end up before it gets dealt with 🧐

A) Kitchen counter
B) Desk corner
C) Spare room
D) That mysterious drawer (don't be embarrassed, we all have at least one!)
E) All of the above

No judgement here, the Tiger has seen it all 🐾

This week’s tip from the Tiger is a simple, but powerful one:
Paperwork needs decisions, not just places to live.

Stacks, drawers and boxes aren’t the real issue, it’s putting off the decision about what each document actually needs.

Why not try this approach instead -
📄 Does it need action → deal with it now
📚 Does it need keeping → file or store properly
🖨️ Does it need access, not paper → scan it
🗑️ Does it no longer serve a purpose → shred it

Clutter doesn’t come from having paperwork.
It comes from undecided paperwork.
The Tiger likes clear decisions and tidy outcomes🐾

🦺World Day for Safety & Health at Work🦺

Today marks World Day for Safety and Health at Work and it’s a reminder to pause and check in.

Safety at work isn’t always obvious, sometimes it’s-
• feeling supported
• knowing where things are
• not being overwhelmed
• working in an organised space
• trusting the systems around you

This week’s Tiger Tip:
Look after the environment people work in, it looks after them in return.
Strong businesses are built on safe, healthy foundations.
The Tiger stands firmly behind that🐾
