🌍 First Time Importing into Kenya? Here’s What You Need to Know

Importing goods can be exciting — but for many first-time importers, the process can seem quite draining and complicated. Common mistakes made end up costing time, money, and peace of mind and in some cases, the goods themselves. Here are a few pointers to help you get started on the right foot:

✅ Understand Import Regulations – Kenya requires specific licenses, permits, and adherence to product standards. Check whether your products require any import approvals in advance.

✅ Be Familiar with Your HS Codes — Proper classification affects fees, taxes, and compliance requirements. An incorrect classification can result in fines or shipping delays.

✅ Prepare for Import Fees Other Than Freight – There are additional fees such as import duty, VAT, port fees, and insurance that need to be paid. Ensure you have adequate funds to cover them.

✅ Remain Active in Your Follow-Ups – Most delays occur because a required document is missing. Verify that all documentation (invoice, packing list, bill of lading, import declaration form, etc.) is complete before the arrival of your shipment.

✅ Choose the Right Clearing & Forwarding Partner – The right partner will take care of the documentation, compliance, and customs clearance processes with ease.

At Goldfields Logistics, we help importers — whether first-timers or seasoned businesses — navigate the complexities of international trade with ease. 🚀

💬 Thinking about your first import? Let’s talk. We’ll walk you through every step.

🚢 Journey of a Container: From Supplier to Shelf
Ever wondered what it really takes for that product you just picked off the shelf to get there?
This is the untold story of global trade. In this article, we break down the step-by-step movement of goods—from the hands of the supplier all the way to your local store.

1: The Origin
The journey begins with the supplier, who manufactures or sources the goods. This is usually in a major manufacturing hub like China, India, or Turkey. After the products are made, they are carefully packaged and undergo a final quality check to ensure they meet the buyer's standards before being prepared for export.

Step 2: Inland Transport
Once ready, the cargo is loaded onto trucks or trains to be transported from the supplier's warehouse or factory to the nearest seaport. This phase is all about precision; timely transport and accurate paperwork are vital to avoid delays that could impact the entire shipping schedule.

Step 3: Port Operations & Customs Clearance
Upon arrival at the port, the goods are verified while in the shipping containers to ensure conformity. This is also where the initial customs clearance takes place. A freight forwarder or clearing agent handles the complex paperwork, ensuring all export regulations are met and the cargo is approved to leave the country.

Step 4: Ocean Freight
The containers are then loaded onto a massive ocean vessel and begin their long journey across the sea. This is often the longest part of the process, and the transit time can vary from a few weeks to several months, depending on the route and any necessary transshipments (where the cargo is moved to another ship).

Step 5: Arrival & Discharge
When the vessel reaches its destination port, the containers are unloaded in a process called terminal handling. Here, the cargo faces a second, more thorough round of customs clearance for imports. The recipient is also responsible for paying any applicable import duties and taxes before the goods can be released. Other government agencies are also involved, e.g., KEBS and KEPHIS, etc., based on the product.

Step 6: Last Mile Logistics
After being cleared, the containers or individual goods are loaded onto trucks for the final leg of their journey. This is known as "last mile logistics," where the products are transported to a final destination like a warehouse, a retailer's store, or a distribution center.

Step 7: On the Shelf
The journey is complete when the products are finally received and put on the shelf, ready to be purchased or used by the consumer. This final step marks the successful completion of the global supply chain, with the product successfully moving from its point of origin to its final destination.

Every step in this journey is a complex dance of coordination, compliance, and timing—and that’s what we’re here to demystify.

At Goldfields Logistics Ltd., we understand that clearing cargo at Kenyan ports is more than just a procedure—it’s a multi-agency operation demanding expertise, precision, and timely coordination.

For importers navigating Mombasa Port, Nairobi ICD, or any of Kenya’s major terminals, understanding the step-by-step clearing process is crucial to avoiding delays, penalties, and unnecessary costs.

Here’s a clear breakdown of how we get your cargo from vessel to warehouse—smoothly and professionally.

🧭 Step 1: Your Trusted Clearing Partner—Goldfields Logistics Ltd
The journey begins with selecting a licensed clearing agent. At Goldfields Logistics Ltd., we are fully registered with the Kenya Revenue Authority and equipped to handle all documentation, regulatory compliance, and multi-agency coordination on your behalf.

🛡️ With us, you're in capable hands from day one.

📄 Step 2: Pre-Arrival Preparation—Documentation Matters
Before the ship even docks, having your documentation in perfect order is paramount. We proactively help our clients prepare and submit:

✅ Import Declaration Form (IDF)
✅ Certificate of Conformity (CoC) from Kenya Bureau of Standards (KEBS) -appointed agents
✅ Commercial Invoice & Packing List
✅ Bill of Lading or Airway Bill
✅ Certificate of Origin
✅ Importer’s KRA PIN Certificate
✅ Special Permits/Licenses (for regulated goods like food, medicine, or plants)

This proactive approach to documentation ensures faster clearance and significantly reduces the risk of inspection delays.

⚓ Step 3: Vessel Arrival & Manifest Submission
Once your cargo arrives, the shipping line submits a manifest to KRA. Your container is then efficiently offloaded and directed to a Container Freight Station (CFS) or terminal, where our team takes over coordination.

💰 Step 4: Customs Declaration & Duty Payments
We meticulously prepare and submit the Customs Entry (C17B) within KRA's ICMS system. This process accurately determines all applicable taxes and levies, including

💵 Import Duty (as per the EAC Common External Tariff)
🧾 Excise Duty (for select goods)
💸 VAT—currently at 16%
💼 Import Declaration Fee (IDF) – 2.5% of customs value
🚄 Railway Development Levy (RDL) – 2% of customs value

We ensure prompt payments via authorized KRA channels to keep your cargo moving without unnecessary holdups.

🔍 Step 5: Verification & Inspection
Depending on the risk profile of your cargo, inspections may be

🧪 Non-intrusive (scanner-based)
📦 Physical (manual verification by KRA, KEBS, or other authorities)

If a CoC is missing, KEBS will conduct an inspection for quality compliance. Additional bodies, such as the Kenya Plant Health Inspectorate Service - Kephis and Port Health, may also conduct checks depending on the specific cargo category (e.g., agricultural products, foodstuffs).

✅ Step 6: Final Release & Delivery
Once customs duties are fully paid and all verifications successfully pass:

KRA issues a Customs Release Order (CRO).
We coordinate directly with the Kenya Ports Authority (KPA) or the CFS for swift container pickup.
Any applicable demurrage or port storage charges are settled promptly.

Finally, we ensure safe and timely delivery to your desired destination—whether it's your warehouse, business premises, or a bonded store.

🚘 For vehicle imports, we also provide comprehensive assistance with NTSA clearance and registration, ensuring a smooth transition to the road.
