At Goldfields Logistics Ltd., we understand that clearing cargo at Kenyan ports is more than just a procedure—it’s a multi-agency operation demanding expertise, precision, and timely coordination.
For importers navigating Mombasa Port, Nairobi ICD, or any of Kenya’s major terminals, understanding the step-by-step clearing process is crucial to avoiding delays, penalties, and unnecessary costs.
Here’s a clear breakdown of how we get your cargo from vessel to warehouse—smoothly and professionally.
🧭 Step 1: Your Trusted Clearing Partner—Goldfields Logistics Ltd
The journey begins with selecting a licensed clearing agent. At Goldfields Logistics Ltd., we are fully registered with the Kenya Revenue Authority and equipped to handle all documentation, regulatory compliance, and multi-agency coordination on your behalf.
🛡️ With us, you're in capable hands from day one.
📄 Step 2: Pre-Arrival Preparation—Documentation Matters
Before the ship even docks, having your documentation in perfect order is paramount. We proactively help our clients prepare and submit:
✅ Import Declaration Form (IDF)
✅ Certificate of Conformity (CoC) from Kenya Bureau of Standards (KEBS) -appointed agents
✅ Commercial Invoice & Packing List
✅ Bill of Lading or Airway Bill
✅ Certificate of Origin
✅ Importer’s KRA PIN Certificate
✅ Special Permits/Licenses (for regulated goods like food, medicine, or plants)
This proactive approach to documentation ensures faster clearance and significantly reduces the risk of inspection delays.
⚓ Step 3: Vessel Arrival & Manifest Submission
Once your cargo arrives, the shipping line submits a manifest to KRA. Your container is then efficiently offloaded and directed to a Container Freight Station (CFS) or terminal, where our team takes over coordination.
💰 Step 4: Customs Declaration & Duty Payments
We meticulously prepare and submit the Customs Entry (C17B) within KRA's ICMS system. This process accurately determines all applicable taxes and levies, including
💵 Import Duty (as per the EAC Common External Tariff)
🧾 Excise Duty (for select goods)
💸 VAT—currently at 16%
💼 Import Declaration Fee (IDF) – 2.5% of customs value
🚄 Railway Development Levy (RDL) – 2% of customs value
We ensure prompt payments via authorized KRA channels to keep your cargo moving without unnecessary holdups.
🔍 Step 5: Verification & Inspection
Depending on the risk profile of your cargo, inspections may be
🧪 Non-intrusive (scanner-based)
📦 Physical (manual verification by KRA, KEBS, or other authorities)
If a CoC is missing, KEBS will conduct an inspection for quality compliance. Additional bodies, such as the Kenya Plant Health Inspectorate Service - Kephis and Port Health, may also conduct checks depending on the specific cargo category (e.g., agricultural products, foodstuffs).
✅ Step 6: Final Release & Delivery
Once customs duties are fully paid and all verifications successfully pass:
KRA issues a Customs Release Order (CRO).
We coordinate directly with the Kenya Ports Authority (KPA) or the CFS for swift container pickup.
Any applicable demurrage or port storage charges are settled promptly.
Finally, we ensure safe and timely delivery to your desired destination—whether it's your warehouse, business premises, or a bonded store.
🚘 For vehicle imports, we also provide comprehensive assistance with NTSA clearance and registration, ensuring a smooth transition to the road.
