I use AI in event planning every day. But here's what it can't do at your corporate event:

Stand in a hotel lobby at 11pm and decide that an exhausted attendee needs a room upgrade and a kind word more than efficiency.

Turn a restaurant relationship into a table for 40 tonight. Relationships aren't data.

Read the educator's face at lunch, see he needs ten minutes of quiet, and rearrange the schedule without being asked.

AI is excellent at the plannable parts. The human parts still need an event planner who's spent years in those hallways.

Corporate event breakfast for 65 people. One room. Seated for a 9 AM session. Breakfast is a math problem dressed up as hospitality.

The room set: fire code, AV sightlines, and server aisles all want different layouts. I walk the room the night before and count.

The timing: a banquet buffet for 65 takes 40 minutes. Plated takes 90. Your agenda decides, not your preference.

The dietary needs: in a group of 65, you'll have all of them. I confirm them with the banquet captain by name.

Nobody thinks about breakfast. Everybody remembers it.

Orlando event logistics, the kind of night that teaches you the job: the sprinter is the wrong vehicle for twelve people and a week's luggage.

The whole group transfer gets reworked on the spot. Different vehicle, different loading order, same departure time. The group boards laughing, completely unaware the plan changed underneath them.

Nobody ever finds out. That's not a complaint. That's the philosophy.

Logistics isn't the unglamorous part of corporate events. Logistics IS the event.

"You always have the camera focused on someone else, but you forget to feed yourself."

I've never forgotten it. And the people I serve best are the same. The CEOs, the organizers, the executives who pour everything into everyone else.

A corporate event planner carries the entire experience for a hundred people and nobody carries it for you. The hotel room block, the dietary restrictions, the speaker landing at midnight. It all lands on you.

He's generous with his time. Almost too generous. This is the kind of thing I watch for: a private entrance at the property instead of the main lobby. A protected path to his own space, plus decompression time nobody asked for.When he's rested, the attendees get everything he has. That was what I was actually planning for. Not the entrance. The performance.This is the part of corporate event planning nobody puts in a proposal. Anticipatory care. I read hotel event contracts like the person who used to sign the other side. Because I was.

Slide 1: The attrition clause. I calculate the actual dollar exposure at three attendance scenarios. It only matters the day you miss it, and by then it's too late to negotiate.

Slide 2: Hotel room block pick-up language. Comp rooms and upgrades are tied to hitting a percentage. Organizers can leave thousands in concessions on the table when nobody tracks pick-up.

Slide 3: The banquet event order. This is where the money hides. "Standard setup" means something different to every catering manager I've ever met.

You don't need to learn any of this. That's what your meeting planner is for.
