At most $5M to $25M natural brands, freight is part of someone's job and nobody's whole job.

The founder books trucks between sales calls, or the ops lead does it between the co-packer and the distributor portal. That works until a deduction is the first anyone hears about a shipment, or a second distributor building doubles the rules.

Founder, coordinator, or freight broker? Our new guide has four questions to decide.

Your refrigerated load just got rejected at the dock. What happens in the next hour decides what you get back.

Before the trailer leaves the property:
Get the receiver's reason and temperature readings written on the bill of lading.
Have the driver photograph the re**er display, showing the setpoint and the actual reading.
Hold off on disposal.
Notify your insurer.

You know what a case costs to make. Do you know what it costs to land at the distributor's dock?

Most brands count the freight quote and stop. The real number has five costs in it: the truck, the extras added at pickup and delivery, the pallet work in between, the freight-caused deduction that comes back weeks later, and the damaged or short cases you never recovered.

Add them up and divide by the cases the distributor accepted. Our free calculator works it out from one shipment:

Getting into Whole Foods or Sprouts is the win everyone posts about. The first delivery is the part nobody mentions.

For most packaged brands, that order does not ship to a store. It ships to a distributor's building, on an appointment, against a delivery deadline.

At Whole Foods, the purchase order usually comes from UNFI. At Sprouts there are three routes, and Sprouts says it will not pay shipping on direct orders.

Plain guides to both, with sources:

Your refrigerated load just got rejected at the dock. What happens in the next hour decides what you get back.

Most brands hear about it after the trailer has already left the property.

Before it does:
Get the receiver's reason and temperature readings written on the bill of lading.
Have the driver photograph the re**er display, showing the setpoint and the actual reading.
Hold off on disposal.
Notify your insurer.

Not every deduction is a distributor problem. Some of them started on the truck.

When a remittance comes back short, it's easy to file all of it under the cost of doing business.

But deductions come in two kinds.

Administrative: item setup, promotions, audits.
Freight-caused: late deliveries, missed appointments, pallet problems.

A freight broker can't fix the first kind. The second kind can be prevented before it happens, with a booked appointment, the right paperwork, and a carrier who knows the dock.

Our free UNFI and KeHE Compliance Hub breaks down what triggers the freight side and how to prevent it:

Your first UNFI or KeHE purchase order has four dates on it. Only one is when the truck is expected at the dock.

Ship date. Must arrive by date. Cancel date. Appointment.

The must arrive by date is measured at the distributor's dock, not yours. The appointment is the slot their scheduling desk gives your carrier. Arrive without one and the truck sits in the yard.
